    Every bookable package should show a day-by-day itinerary with pickup point and reporting time, departure time, planned stops, meal breaks, arrival and darshan/visiting schedule, night-halt details, return departure, and expected final drop-off time. Exact clock times depend on the selected route, temple/attraction schedules, traffic, permits and travel date, so they will be confirmed in the package itinerary before payment rather than guessed in advance.

    Before paying: ask for the written itinerary, exact pickup and drop times, total package price, included meals/stay/tickets, add-on prices, and cancellation terms. Any change to the itinerary will be communicated by the SaahiRides team.

    Travel Operations, Safety & Billing

    SaahiRides uses a written trip plan, a driver trip sheet, customer safety rules and a transparent bill for every confirmed outstation journey.

    1. Outstation distance & extra-kilometre ratesPer vehicle, per day

    Minimum billable distance: 300 km per vehicle per day. Record the actual odometer reading and route every day. If actual distance exceeds 300 km that day, the excess distance is charged at the applicable vehicle rate below.

    Billing example: if a vehicle covers 340 km in a day, the excess is 40 km. The extra-distance charge is 40 Γ— the applicable rate.     The final quote must state how garage-to-garage kilometres are measured and which day counts as a billing day. Every assigned vehicle must have a working FASTag with sufficient balance checked before departure. Drivers must record toll transactions and retain receipts if FASTag fails and an alternate payment is required. Toll charges, driver food and driver bata/allowance are included in the package. GST and travel insurance coverage are extra. Parking, permits, interstate charges or any other exclusions must be clearly disclosed in the written quote before payment; no unlisted charge should be added without disclosure and agreement.

    5. Internal feedback & service recoveryClose the loop after each trip

    At trip closure, operations should collect customer feedback and driver feedback separately. Record the booking ID, punctuality, vehicle cleanliness, safe driving, itinerary adherence, meal/stay coordination, billing accuracy, customer conduct, compliments, complaints and corrective action.

    Escalate safety concerns, harassment allegations, suspected overcharging, unauthorised detours, incidents or missing passengers immediately to the designated operations/admin contact. Preserve the facts and supporting receipts/messages; do not argue with the customer or alter a trip sheet after sign-off without an auditable correction.

    Use recurring feedback to coach drivers, improve routes and suppliers, and update package descriptions. Do not publish private customer feedback or personal data without permission.

    6. Payment, cancellation & strict billing termsWritten confirmation required
    • Advance: 50% of the quoted package total is due to confirm the booking.
    • Balance: the remaining 50% is payable before the trip begins, unless a written company-approved agreement states otherwise.
    • Cancellation: under the proposed standard policy, cancellation at least 24 hours before departure receives a 50% refund of the advance; cancellation less than 24 hours before departure is non-refundable. The exact policy and any legally required exceptions must be shown to the customer before payment.
    • Waiting: 30 minutes of pickup waiting time is free; after that, β‚Ή150 per hour applies, as stated in the confirmed booking terms.
    • Night travel: SaahiRides advises against rides beyond 11:00 PM. Travel beyond 11:00 PM may proceed only by mutual agreement between the customer and SaahiRides/driver, with applicable night charges extra. The agreed night charges must be disclosed and recorded before departure.
    • Daily distance: 300 km per vehicle per day is the minimum billable distance. Actual distance above 300 km/day is billed at Sedan β‚Ή18/km, Premium β‚Ή22/km or Innova 7-seater β‚Ή26/km.
    • Itemised bill: show base package/vehicle charge, billable days and kilometres, extra kilometres, approved add-ons, any parking/permit/interstate charges expressly excluded in the quote, travel insurance if selected, and GST as separate lines. Toll charges, driver food and driver bata/allowance are included in the package and must not be added again.
    • Tax and extras: state clearly that GST and travel insurance coverage are extra, and disclose every other chargeable exclusion in the written quote. Toll charges, driver food and driver bata/allowance are included in the package. Do not assume that an optional add-on is included; obtain customer approval before adding it.
    • Payment proof: issue a receipt for each payment and a final itemised invoice. Any change to the quote must be approved and documented.

Actual driving distance may differ by approximately 50–100 km or more because of the exact pickup/drop points, rerouting, road conditions, local transfers and the route actually taken. Long-distance packages marked β€œfull road option” show the approximate road-trip total; train/flight plus local-transfer kilometres are different and must be quoted separately. Optional attractions are additional and are not included in the main-trip total. Boat, ferry, train and on-site upgrades are not road kilometres. The final route, kilometres and applicable charges will be confirmed with the customer before booking.

    Payment, Guide & Point of Contact (POC)

    Full payment: The package amount is payable in full as stated in the written quotation and before the trip begins. Any applicable exclusions, taxes or extra charges must be clearly shown in the quote.

    Your on-trip POC: For trips using a car or regular vehicle arrangement, your driver will also serve as your guide for the planned route and as the company’s point of contact (POC) during the journey. Please cooperate with the driver/POC and follow the confirmed itinerary and practical on-road guidance.

    Large groups and bus travel: Where multiple families or a larger group are travelling together by bus, SaahiRides will arrange a dedicated guide, subject to confirmation in the written package plan. The guide will be the group’s on-trip POC.

    Final account and refund: If the actual payable amount is less than the full amount collected, the difference will be refunded after reconciliation, along with an itemised bill showing the charges. Please contact the company POC promptly if you notice any discrepancy; the team will review and clarify it.
